THE ROLE

 

We are partnering with a reputable Canadian law firm that has years of experience in the legal industry in Victoria, BC. Currently, we are looking to add an additional member to their accounting team as they have a need for an Accounts Billing Clerk in their office located in downtown Victoria.

 

Our client is a national boutique law firm that provides legal services to Indigenous communities, governments, and businesses, including transformative change in an era of reconciliation and decolonization.

 

They are seeking an Accounts Billing Clerk to join their finance team with high level of integrity, attention to detail, and analytical thinking that contributes to their firm’s mission with the efficient delivery of financial tasks, and an interpersonal engagement that cultivates positive and meaningful working relationships with colleagues and clients.

 

Their Accounts Billing Clerk will acquire knowledge in accounting best practices to execute efficient billing and file opening processes while building meaningful relationships with colleagues and clients, on behalf of their legal team.

 

 RESPONSIBILITIES:

 

Billing:

·       Draft, finalize, and post bills.

·       Draft cover letters and send bills.

·       Monitor time-tracking (e.g., review posted time for input errors, reminder emails to lawyers).

·       Accessing and posting BC Online and LTSA reports.

·       Prepare quarterly work in progress (WIP) reports for review by lawyers; send final report to the Accounts Administrator and/or Director of Finance.

 

Accounting:

·       Update cashflow, as required.

·       Calculate, post & send list of expense claims to Payroll.

·       Email notification of expense payment to employee.

 

Accounts Payable:

·       Posting invoices;

·       tracking and posting disbursement charges;

·       recommending & issuing payments upon approval;

·       paying bills (e.g., rent (EFT); and

·       reconciling and posting petty cash and credit card statements.

 

Accounts Receivable:

·       Complete bank deposits for both General and Trust transactions;

·       post client payments and other general receipts;

·       prepare monthly Accounts Receivable Statements for clients.

 

Accounting (in support of the Finance Department):

·       Support year-end preparation;

·       prepare monthly and annual client trust statements;

·       prepare quarterly reports of Special Trust GIC;

·       complete Trust account transactions as directed by Accounts Administrator;

·       coordinate the renewal of Special Trust GICs with responsible lawyer & bank

 

File Opening

·       Open and close files in Unity Accounting Software & Worldox.

·       Complete new matter conflict checks.

·       Advise IT of new firewall.

·       Advise File Clerks of all new files including any firewall files requiring secured cabinets.

 

REQUIREMENTS:

 

·       2 to 5 years of education and/or experience with the completion of a business administration program, or other related field of study;

·       Engaging interpersonal skills, as a positive and professional team player, with service orientation and cultural awareness.

·       Attention to detail for maintaining high-level accuracy in preparing and posting financial information.

·       Critical and analytical thinking skills with resilience and commitment for quick and efficient solution-based processing.

·       Alignment for their core values to keep striving for excellence, trust, ethics, respect, and accountability.

·       Proficient computer skills with Microsoft Office products (i.e., MS Excel, MS Word, PowerPoint, Outlook) and continuous learning required for internal platforms or systems our client makes use of.

·       Completion of a business administration program, or other related field of study with work experience in accounts payable and receivable, clerical, or data entry position.

·       Experience working with Microsoft Office (e.g., MS Excel, Outlook, MS Word, PowerPoint) and familiarity with accounting software, ESI-Law, Worldox (or other document management system) is preferred.

·       Must be bondable and eligible to work in Canada.
