THE ROLE
We are partnering with a reputable Canadian law firm that has years of experience in the legal industry in Vancouver. Currently, we are looking to add an additional member to their fast growing administration team as they have a need for a File Clerk in Vancouver. This is a Full Time, Permanent position (40 hours/week).
Responsibilities:
- Conducts conflict checks for all prospective clients, reviewing results to ensure compliance with firm policies and the Law Society of BC requirements.
- Opens new client matters in the accounting software, ensuring all necessary information is complete and accurate by working closely with the legal team.
- Manages the firm’s Client ID process, ensuring adherence to firm policies and Law Society of BC regulations.
- Supports the CEO and legal team with the Client Verification process.
- Ensures confidentiality and security of client information at all times.
- Coordinates file closures with the legal team and other administrative staff.
- Collaborates with the CEO on any updates in the accounting software.
- Updates and maintains client contact information in the accounting software.
- Tracks and manages the ethical wall as directed by the Director of Admin & HR.
- Performs various administrative tasks to assist the admin team as needed.
- Provides backup support for reception duties when required.
Qualifications:
- At least one year of relevant office work experience.
- Previous experience in a legal or accounting setting is required.
- Completion of a Bachelor’s Degree, Diploma, or Certificate in Business Administration or Legal Administration.
- Demonstrating integrity and respect in all interactions with clients and colleagues.
- Taking ownership of tasks and responsibilities, ensuring timely and accurate completion of work.
- Proactively identifying issues or concerns and escalating them to the appropriate contact when necessary.
