THE ROLE
Our client is seeking a highly organized and detail-oriented Wealth Management Executive Assistant to join their dynamic wealth management team. This permanent role is crucial in ensuring seamless communication between the Senior Investment Advisor, high-net-worth clients, and internal team members. The ideal candidate will have a background in the insurance or financial services industry, exceptional customer service skills, and strong attention to detail. This position requires someone who can take full ownership of scheduling, client coordination, and administrative tasks while providing proactive support in a fast-paced, high-volume environment.

RESPONSIBILITIES
- Calendar & Schedule Management – Take full ownership of the Senior Advisor’s schedule, appointments, and client meetings using Outlook
- Client Support & Concierge-Level Service – Provide high-touch client service to high-net-worth individuals, ensuring professionalism and responsiveness
- Administrative & Office Support – Maintain documents, prepare reports, and manage correspondence related to investment and insurance products
- Utilize knowledge of insurance products, policies, and regulations to assist with insurance related tasks and inquiries
- Proactive Problem-Solving & Process Improvement – Anticipate needs, identify inefficiencies, and make suggestions to improve workflows
- Multi-Tasking & Adaptability – Manage multiple priorities efficiently in a high-volume, fast-moving work environment
- Technology Assistance – Assist the Senior Advisor with basic technical troubleshooting, when required
REQUIREMENTS
- 5–10 years of Executive Assistant experience within insurance, financial services, or wealth management
- Strong knowledge of mutual funds, insurance products, and investment services
- Proven ability to work with high-net-worth clients and provide outstanding service
- Highly organized, detail-oriented, and proactive, with the ability to pivot between tasks seamlessly
- Strong Outlook skills for managing complex scheduling
- Independent and solution-driven, capable of taking full ownership of responsibilities
- Able to work closely with a highly driven and results-oriented leader who expects precision and efficiency
