The Role

We are partnering with a fast-growing medical equipment company in Ancaster to find a Service Coordinator to support their service department. This role is essential to ensuring smooth operations, scheduling service technicians, maintaining records, and delivering exceptional customer experiences. Responsibilities

  • Gather, organize, and maintain accurate service data, reports, and documentation
  • Schedule and dispatch service technicians for preventative maintenance and service calls
  • Respond to customer inquiries via phone and email promptly, providing professional and courteous service
  • Maintain and update service records, logs, spreadsheets, and tracking tools, ensuring accuracy and completeness
  • Prepare reports, invoices, and service documentation as required
  • Coordinate with internal teams and external vendors to resolve service issues efficiently
  • Monitor inventory levels for service-related supplies and assist with ordering
  • Continuously identify process improvements to enhance service department efficiency
  • Support the Director of Customer Service in administrative and operational tasks as needed

Requirements

  • 2+ years of experience in customer service, service coordination, or administrative roles in a fast-paced environment
  • Experience in the medical or technical equipment industry considered an asset
  • Experience supporting a service or technical team in a small company environment considered an asset
  • Strong customer service skills with a professional, friendly, and solutions-oriented demeanor
  • Microsoft Excel skills, including formulas, pivot tables, and data analysis
  • Proficient in Microsoft Office Suite (Outlook, Word, Excel, Teams, SharePoint)
  • Exceptional attention to detail and organizational skills
  • Strong written and verbal communication skills
  • Ability to manage multiple priorities, meet deadlines, and work independently
  • Experience scheduling technicians or coordinating service operations
  • Technical aptitude to understand service processes, asset management, and equipment requirements
  • Familiarity with cloud-based service or asset management systems
