The Role
We are partnering with a fast-growing medical equipment company in Ancaster to find a Service Coordinator to support their service department. This role is essential to ensuring smooth operations, scheduling service technicians, maintaining records, and delivering exceptional customer experiences. Responsibilities
- Gather, organize, and maintain accurate service data, reports, and documentation
- Schedule and dispatch service technicians for preventative maintenance and service calls
- Respond to customer inquiries via phone and email promptly, providing professional and courteous service
- Maintain and update service records, logs, spreadsheets, and tracking tools, ensuring accuracy and completeness
- Prepare reports, invoices, and service documentation as required
- Coordinate with internal teams and external vendors to resolve service issues efficiently
- Monitor inventory levels for service-related supplies and assist with ordering
- Continuously identify process improvements to enhance service department efficiency
- Support the Director of Customer Service in administrative and operational tasks as needed
Requirements
- 2+ years of experience in customer service, service coordination, or administrative roles in a fast-paced environment
- Experience in the medical or technical equipment industry considered an asset
- Experience supporting a service or technical team in a small company environment considered an asset
- Strong customer service skills with a professional, friendly, and solutions-oriented demeanor
- Microsoft Excel skills, including formulas, pivot tables, and data analysis
- Proficient in Microsoft Office Suite (Outlook, Word, Excel, Teams, SharePoint)
- Exceptional attention to detail and organizational skills
- Strong written and verbal communication skills
- Ability to manage multiple priorities, meet deadlines, and work independently
- Experience scheduling technicians or coordinating service operations
- Technical aptitude to understand service processes, asset management, and equipment requirements
- Familiarity with cloud-based service or asset management systems
