The Role

We are partnering with a well-established construction organization to find an experienced Senior Project Coordinator to support complex mechanical construction projects. This is a high-impact role working closely with Project Managers and Site Supervisors, acting as a key liaison across internal teams, subcontractors, and external stakeholders.

Responsibilities

  • Manage all project documentation including contracts, drawings, purchase orders, shop drawings, and correspondence
  • Review project scope against bid documents and identify gaps or discrepancies
  • Support project scheduling, budgeting, and forecasting activities
  • Coordinate with subcontractors, vendors, engineers, and general contractors throughout the project lifecycle
  • Prepare RFIs, change orders, and work orders while resolving project-related issues
  • Track equipment deliveries, shop drawings, and timelines to ensure project milestones are met
  • Support progress billing, invoicing, and cash flow management
  • Attend site meetings, take detailed minutes, and communicate updates to stakeholders
  • Maintain accurate records including as-built drawings and O&M manuals
  • Assist with project closeout, ensuring all documentation and invoicing is complete
  • Provide mentorship and support to junior coordinators as needed

On site Responsibilities - when applicable

  • Act as a key point of contact for site coordination and communication
  • Attend site and commissioning meetings, ensuring clear documentation and follow-up
  • Coordinate site setup, inventory, and equipment deliveries
  • Maintain daily site reports and support scheduling (including 6-week lookaheads)
  • Ensure compliance with health & safety requirements and documentation
  • Support site teams with administrative and coordination tasks

Requirements

  • 8+ years of experience in Project Coordination within construction (ICI preferred)
  • Strong understanding of mechanical construction, sequencing, and project lifecycle
  • Experience managing multiple complex projects simultaneously
  • Proficiency with tools such as Procore, Accubid, or similar construction software
  • Strong communication, organizational, and problem-solving skills
  • Ability to work independently while supporting a broader project team
  • Valid driver’s license and ability to attend site visits as required
  • Technical education, trade background, or certification (asset)
