The Role
Our client, a growing organization within the wealth management and financial services industry, is seeking a highly organized and proactive Executive Assistant to support a senior leader. This is a key role that blends executive-level administrative support with personal assistance, requiring exceptional attention to detail, discretion, and a strong ability to manage competing priorities.

Responsibilities
Executive & Administrative Support
- Manage complex calendars, scheduling, and coordination of meetings and appointments
- Prepare correspondence, reports, presentations, and meeting materials
- Handle inbox management, prioritizing communications and drafting responses as needed
- Coordinate travel arrangements, itineraries, and expense reporting
Personal & Lifestyle Support
- Provide day-to-day personal assistance, including scheduling appointments, reservations, and errands
- Coordinate personal travel, events, and ad hoc requests
- Ensure seamless organization of both professional and personal commitments
Operational Excellence
- Maintain a high level of organization across all tasks and priorities
- Act as a gatekeeper, ensuring efficient time management and workflow
- Anticipate needs, proactively resolve issues, and support day-to-day operations
Requirements
- Experience as a Personal Assistant, Executive Assistant, or in a similar high-level administrative role
- Experience within financial services, wealth management, or a professional services environment is preferred
- Exceptional organizational and multitasking abilities in a fast-paced setting
- Strong communication skills, both written and verbal
- High level of professionalism, discretion, and ability to handle confidential information
- Advanced proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint)
- Experience with CRM systems or financial platforms is an asset
- Proactive, resourceful, and solutions-oriented mindset
- Strong ability to manage shifting priorities and work with demanding schedules
