The Role
We are seeking an experienced Litigation Legal Assistant to provide comprehensive administrative and clerical support to lawyers in our client’s Indigenous practice group. This team serves First Nations, Métis, and Inuit governments and businesses across Canada, advising on a wide range of matters including litigation, negotiations of Aboriginal and treaty rights claims, commercial law, land management, labour and employment, health and child welfare governance, environmental regulation, and administrative law.
The ideal candidate is highly organized, detail-oriented, and adaptable, with excellent communication skills and the ability to work independently in a fast-paced, professional environment.
Responsibilities
- Edit, format, and proofread legal correspondence and documents.
- Open and close files, perform copying, scanning, and other administrative tasks.
- Coordinate logistics for client meetings, hearings, and out-of-town proceedings, including preparing binders and key documents, booking rooms, arranging travel, and coordinating catering.
- Manage client accounts receivable, reconcile accounts against budgets, and support billing processes, including inquiries, follow-up, and disbursement submissions.
- Process client travel reimbursements and related expenses.
- Maintain an efficient digital file system and organize lawyers’ calendars, contacts, appointments, and travel schedules.
- Support practice management tasks such as arranging meetings, conference calls, hotel bookings, seminar registrations, and boardroom reservations.
- Monitor incoming communications, prioritize time-sensitive matters, and proactively support the team.
- Coordinate with law societies regarding enrollment and continuing professional development requirements.
Requirements
- Completion of a recognized legal assistant program (or equivalent training and experience).
- Minimum 5 years of experience as a legal assistant or administrative professional in a high-quality professional services environment.
- Experience supporting Indigenous practice areas is considered an asset.
- Ability to follow instructions with minimal supervision and thrive in a team-oriented, fast-paced environment.
- Strong organizational skills with exceptional attention to detail.
- Advanced proficiency with Microsoft Word, Excel, Outlook, and document management software.
- Excellent verbal and written communication skills, including grammar, spelling, and proofreading.
- Strong interpersonal skills with a collaborative and client-focused approach.
- Ability to anticipate client needs and deliver exceptional service to both internal and external stakeholders.
