THE ROLE
As the Investment Services Administrator, you will play a key role in supporting Independent Financial Advisors by processing investment transactions, providing exceptional client service, and ensuring administrative accuracy. You’ll work closely with internal teams, external providers, and advisors to keep workflows running smoothly. This role requires excellent attention to detail, problem-solving skills, and the ability to manage high volumes of information in a fast-paced environment.

- Monday–Friday, 9 AM–5 PM, one-hour lunch.

RESPONSIBILITIES
- Process segregated fund and mutual fund investment transactions
- Respond to inquiries from advisors, clients, and prospective clients with professionalism and accuracy
- Maintain a strong understanding of investment products and services offered
- Manage follow-up systems for inquiries, trades, complaints, and problem resolution
- Identify administrative errors and recommend appropriate solutions
- Interact with external service providers to ensure accurate and timely processing
- Conduct outbound calls when additional clarification is required
- Coordinate the distribution of new product information and investment bulletins
- Prepare annuity illustrations for advisor support
- Ensure all required forms and documentation for account openings, deposits, and investments are available and up to date
- Provide backup coverage for colleagues as needed
- Assist with general administrative duties and other tasks as assigned
REQUIREMENTS
- 1–3 years of experience in financial services (mutual funds, insurance, investments, advisor support), banks, MGA carriers, mutual fund companies, or dealer experience preferred.
- Strong analytical, problem-solving, and investigative skills.
- High attention to detail and accuracy.
- Excellent verbal and written communication skills.
- Customer-service oriented with the ability to manage multiple stakeholder relationships.
- Ability to thrive in a high-volume, fast-paced, regulated environment.
- Self-starter, accountable, team-oriented, and motivated to work collaboratively.
- Comfortable in an open-office environment with high interaction; in-office Monday–Friday.
- Proficient with computer systems, digital navigation, and Microsoft Office.
- Ability to work independently as well as part of a team.
