THE ROLE

As an Executive Assistant, your primary responsibilities will include providing comprehensive administrative support, managing payroll submissions, coordinating training and onboarding processes, and maintaining health and safety documentation. You’ll oversee scheduling, track vehicle maintenance, and support various operational tasks to ensure the office runs smoothly. This is a fantastic permanent opportunity for someone detail-oriented, highly organized, and thrives in a dynamic environment. You will play a vital role in supporting a growing company located in Burlington, operating fully onsite at a medium-sized manufacturing company.

RESPONSIBILITIES:

  • Review and enter time sheets for the shop and the installation department , create summary report for payroll
  • Make changes to the Health and Safety Policy as directed by the COO
  • Maintain Health and Safety training Matrix
  • Schedule health and safety training with the Health and Safety Officer
  • Assist the COO in managing the Fleet , schedule annual safeties , oil changes , file all record all invoices
  • Assist COO by creating reports on Health and Safety and Fleet
  • Work with the COO and the H&S officer to maintain external Health and Safety programs i.e. IS Net , Avetta
  • Send out Insurance, WSIB and Health and Safety information to customers when required
  • Warranty, maintain spreadsheet, create service orders, correspond with Vendor to obtain Warranty #
  • Enter job information and create file for job’s and create packing slip

REQUIREMENTS:

  • 2+ years of experience within administration and or operations
  • Strong organizational and time-management skills
  • Detail-oriented with the ability to manage multiple tasks and deadlines
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
  • Knowledge of Microsoft Dynamics NAV Accounting software is an asset
  • Familiarity with payroll processes and general administrative functions
  • Excellent communication skills, both written and verbal
  • Experience in health and safety documentation and training coordination is a plus
  • Working in a manufacturing environment is an asset
