THE ROLE

Our client seeks a highly organized and detail-oriented Client Services Specialist to join their growing team. This permanent role ensures effective communication between advisors, assistants, and insurance carriers. The ideal candidate will have a background in the insurance or financial services industry, a strong customer service focus, and a keen attention to detail.

RESPONSIBILITIES

Processing:

  • Efficiently process applications, claims, and transactions
  • Handle transfer forms, ensuring timely submission to receiving and relinquishing clients
  • Manage NIGO notices and coordinate necessary corrections with perspective parties
  • Set up new clients and accounts in the WealthServ system, ensuring the accurate uploading of documents
  • Process electronic applications and documents from clients, ensuring proper setup of clients and accounts

Client Service:

  • Serve as a liaison between advisors, assistants, and clients, providing timely updates and resolutions
  • Assist advisors/assistants with form completion and submission procedures
  • Proactively resolve inquiries and follow up on issues
  • Provide contact information and support
  • Handle incoming calls, directing them to the appropriate team member

Administration:

  • Maintain organized folders for NIGO notices and processed documents
  • Upload client statements from client portals
  • Manage digital copies of applications and forms
  • Assist with log-in credentials and password resets for internal systems

REQUIREMENTS

  • Equivalent experience in the insurance or financial services industries
  • 1-2 years of experience in the insurance/financial services industries, with experience working with insurance carriers
  • Proficiency in Office 365; familiarity with back-office systems, particularly WealthServ, is a plus
  • Strong attention to detail, time management, and communication (verbal and written)
  • Bilingual in French and English is an advantage
