THE ROLE

We have partnered with a boutique financial planning firm based in Vancouver BC specialized with supporting physicians with financial management. We are looking to add on a new Advisory Services Coordinator to their busy team! This role involves handling client service tasks, assisting advisors by preparing meeting materials and documentation, providing paraplanning support, and managing various administrative duties. The ideal candidate should be detail-oriented, highly organized, and excel in a client-centered setting.

Responsibilities:

Client Servicing:

 Collect information to complete all necessary paperwork for insurance and investment applications.

• Schedule medical appointments and maintain communication with underwriters.

• Process contributions, withdrawals, and manage PAC (Pre-Authorized Contributions) administration.

• Remind clients of RRSP contribution deadlines and limits.

• Provide clients with policy and account statements, summaries, and reports upon request.

• Supply clients and accountants with all relevant year-end information.

• Communicate capital gains or losses information for corporate fiscal year-ends.

• Advise clients on stock in-kind donations for charity.

• Offer guidance on margin loans and special products to clients.

Advisor Servicing:

• Prepare for client meetings by finalizing agendas and creating Consolidated Summaries.

• Update client information in the CRM system.

• Accurately document all client interactions within the CRM system.

• Respond promptly to client and partner inquiries.

• Run insurance and investment illustrations for new and existing clients when necessary.

• Perform bookkeeping duties as required.

Qualifications:

• Fluent in both oral and written English.

• Post-secondary education in a related field.

• 1-2 years of experience in financial services, advisory support, or a related field.

• Strong knowledge of investment and insurance products and processes.

• Proficiency with CRM systems and financial planning software.

• Excellent organizational skills and attention to detail.

• Strong written and verbal communication skills.

• Ability to manage multiple tasks and prioritize effectively in a fast-paced environment.

• Professional, positive demeanor with a focus on exceptional client service.

• Relevant financial certification (e.g., LLQP) is an asset.

• Willingness to pursue financial certification is a plus.
