The Role

Our client is seeking an Administrative Assistant (12-month contract) to provide comprehensive administrative support to a team within a fast-paced and collaborative environment. This role is ideal for someone who is highly organized, detail-oriented, and enjoys supporting day-to-day operations while keeping processes running smoothly.

Responsibilities

  • Provide day-to-day administrative support to a team, ensuring efficient coordination of tasks and activities.
  • Perform routine administrative and bookkeeping duties, including invoicing and cheque processing.
  • Coordinate and schedule meetings, calendars, and travel arrangements.
  • Support vendor management processes, including supplier account setup and maintenance.
  • Accurately enter data into systems, maintain records, and manage document filing (both electronic and paper-based).
  • Oversee janitorial services and maintain inventory of supplies.
  • Act as a point of contact for incoming calls, messages, visitors, and mail distribution.
  • Provide basic clerical and administrative support, escalating more complex issues as needed.
  • Assist with additional administrative tasks and projects as required.

Requirements

  • Completion of secondary school (high school diploma or equivalent).
  • Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook, etc.).
  • Excellent organizational skills with strong attention to detail.
  • Ability to manage multiple priorities in a structured and efficient manner.
  • Strong communication skills and a professional, team-oriented approach.
  • Ability to handle confidential information with discretion.
  • Must be legally eligible to work in Canada.
