The Role
An established, Canadian-owned organization is seeking a skilled Temporary Administrative Assistant to support a Senior Executive Team of eight. This role has been created as part of a broader restructuring of internal support functions and is focused on improving executive efficiency and overall operational effectiveness.
The Administrative Assistant will provide high-level financial, logistical, and operational support, while coordinating daily office activities and handling confidential administrative responsibilities. This role also contributes to committee support, budget administration, project tracking, and the development of internal processes, procedures, and systems.
Responsibilities
- Coordinate complex travel arrangements company-wide, including flights, accommodations, and rental vehicles, while exercising financial prudence.
- Manage complex and frequently changing executive calendars.
- Coordinate virtual and in-person meetings, including preparation, attendance, and accurate minute-taking.
- Act as the primary point of contact for general communications, screening and directing calls, emails, mail, and visitors.
- Maintain and manage databases, records, and documentation with strict attention to confidentiality.
- Prepare, submit, and reconcile detailed expense reports and statements.
- Support team initiatives, projects, and learning events, providing short-term coverage for colleagues as needed.
- Utilize Microsoft Office tools, including Word, Excel, and Visio, to support reporting, documentation, and workflow efficiency.
- Assist with planning and execution of company events such as board meetings, conferences, workshops, and internal celebrations.
- Serve as an active member of the on-site Occupational Health and Safety Committee.
- Provide virtual assistance and perform additional administrative duties as required.
Requirements
- Diploma or undergraduate degree in Office Administration or a related field (considered an asset).
- Minimum of 2 years of administrative support experience, ideally in a fast-paced environment.
- Strong proficiency in Microsoft Office, including Word, Excel, PowerPoint, and Teams.
- Experience coordinating travel arrangements is preferred.
- Excellent verbal and written communication skills.
- Ability to manage shifting priorities and competing demands with confidence.
- Exceptional organizational and time management skills, with strong attention to detail and accuracy.
- Working knowledge of general office equipment and administrative systems.
- Strong critical thinking and problem-solving skills.
