The Role

Our client, a growing firm within the wealth management industry, is seeking an experienced Senior Administrator to join their collaborative and high-performing team. This is a key position supporting Advisors and high-net-worth clients, ensuring seamless day-to-day operations, exceptional client service, and accurate investment processing.

This role is ideal for a career administrator who brings deep knowledge of mutual funds, registered plans, and Canadian wealth operations. You will play a critical role in managing complex transactions, maintaining compliance, and driving operational efficiency in a fast-paced, detail-oriented environment.

Responsibilities

Client & Advisor Support

  • Act as a key administrative contact for clients, handling inquiries related to accounts, contributions, withdrawals, and documentation
  • Prepare client review packages, investment summaries, and meeting materials
  • Support onboarding of new clients, including KYC documentation and account setup

Mutual Fund & Investment Administration

  • Process mutual fund transactions including purchases, redemptions, switches, and systematic plans (PACs, SWPs)
  • Verify fund codes, pricing, and trade details while ensuring deadlines are met
  • Monitor pending trades, resolve discrepancies, and liaise with fund companies

Account & Operational Administration

  • Manage account transfers (ATON and non-ATON), contributions, and withdrawals across registered plans (RRSP, TFSA, RRIF, RESP, LIF, etc.)
  • Reconcile accounts and investigate discrepancies
  • Maintain accurate records in compliance with regulatory requirements

Compliance & Documentation

  • Ensure all client files meet internal and regulatory standards (CIRO/IIROC/MFDA)
  • Maintain up-to-date KYC documentation and detailed client records
  • Support internal audits and compliance-related inquiries

Team Support & Process Improvement

  • Provide guidance and mentorship to junior team members
  • Identify opportunities for workflow improvements and operational efficiencies
  • Collaborate with Advisors, custodians, and internal teams to ensure seamless operations

Requirements

  • 8–10+ years of experience in wealth management administration within a Canadian financial services environment
  • Strong knowledge of mutual fund operations, trade processing, and settlement
  • Solid understanding of registered plans (RRSP, TFSA, RRIF, RESP, LIRA, LIF)
  • Experience with industry platforms such as Dataphile, Univeris, Croesus, or similar
  • Familiarity with CIRO/IIROC/MFDA compliance requirements
  • Exceptional attention to detail and accuracy
  • Strong communication skills with a client-first mindset
  • Highly organized with the ability to manage multiple priorities in a fast-paced environment
  • Proactive, solutions-oriented, and able to work both independently and collaboratively
