The Role

Our client, a well-established organization in Hamilton, is seeking a Senior Administrative & Operations Coordinator to join their team. This is a dynamic, hands-on role supporting daily operations across administrative, financial, HR, and operational functions. The ideal candidate is detail-oriented, highly organized, and thrives in a fast-paced environment while partnering closely with the General Manager to ensure smooth office operations.

Responsibilities

  • Manage full-cycle accounting, including accounts payable/receivable, payroll, bank and credit card reconciliations, and financial reporting
  • Support budgeting processes, financial analysis, and timely submission of regulatory remittances
  • Assist in maintaining the company’s Quality Management System, including documentation, training tracking, and preventative maintenance schedules
  • Provide general HR and employee support, including benefits administration and documentation
  • Support ERP-related functions, order entry, invoicing, and overall office administration
  • Assist with IT-related administrative tasks and collaborate across teams to support operational needs

Qualifications

  • Proven experience in senior administrative, operations, or office management roles with financial responsibility
  • Proficiency with QuickBooks is mandatory; ERP system experience is an asset
  • Strong knowledge of full-cycle accounting, payroll processing, and financial reporting
  • Familiarity with Quality Management Systems is a plus
  • Exceptional organizational skills with the ability to manage multiple priorities
  • High attention to detail, accuracy, and analytical capability
  • Excellent communication and interpersonal skills
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
