THE CLIENT

Our client is a long-standing private real estate lending and investment firm with over three decades of proven performance in the Western Canadian market. They provide alternative investment solutions through mortgage investment corporations (MICs) and related lending platforms, and have funded billions in real estate loans across residential, commercial, and development projects.

As the organization continues to expand its mortgage-backed funds and scale its lending operations, they are seeking an experienced Director of Fund Operations to lead fund administration, strengthen operational infrastructure, and support strategic growth initiatives.

 

THE ROLE

This is a key leadership role responsible for overseeing fund operations across multiple investment vehicles. You will ensure accurate and timely fund administration, improve operational systems and controls, and collaborate closely with internal teams and external service providers. Your work will enable efficient capital deployment, strong investor reporting, and scalable growth.

 

RESPONSIBILITIES

Fund & Operational Management

  • Oversee end-to-end operations for multiple investment funds, including fund administration, asset accounting, NAV calculations, and monthly/quarterly distributions.
  • Lead retractions/redemptions, treasury management, and investor record-keeping.
  • Maintain accurate accounting ledgers, compliance documentation, and performance reporting.
  • Manage relationships with fund administrators, custodians, auditors, and legal advisors.
  • Ensure strong internal controls, risk management practices, and audit readiness.

Process Improvement & Systems

  • Identify opportunities to streamline workflows, automate key processes, and enhance reporting and data infrastructure.
  • Support new fund launches, capital-raising initiatives, and operational planning as the firm grows.

Investor & Stakeholder Reporting

  • Oversee investor statements, performance updates, distribution schedules, and redemption processes.
  • Partner with sales/exempt-market teams to support investor onboarding and suitability compliance.

Leadership & Collaboration

  • Lead and mentor a growing an administrative support team.
  • Work cross-functionally with underwriting, lending, sales, compliance, and senior leadership.

 

Skills & Experience

  • 10+ years in fund operations, fund administration, asset management, or private markets.
  • Strong technical knowledge of fund accounting, NAV, distributions, redemptions, and investor reporting.
  • Experience with MICs, private debt, or real estate-backed investment vehicles is strongly preferred.
  • Solid understanding of Canadian private-fund regulatory and compliance requirements.
  • Proven ability to manage third-party administrators, custodians, auditors, and service partners.
  • Demonstrated success enhancing processes, systems, and operational scalability.
  • Excellent leadership, communication, and stakeholder-management skills.
  • High attention to detail and commitment to operational accuracy.
  • CPA or equivalent designation.
  • Experience with mortgage-backed investment structures or Western Canadian real estate markets.
  • Comfortable working in a growth-oriented, multi-line financial services environment.
