THE ROLE

We are looking for a temporary Executive Assistant for a 3-month contract at their Vancouver location. The ideal candidate is adaptable, detail-oriented, and thrives in a fast-paced environment.
The senior executive assistant is responsible for providing senior executive administrative support for the president & chief executive officer and for the chair in support of organizational objectives in a manner that reflects the organization’s values.
Responsibilities:
Executive & Chair Support
- Manage the CFO's calendar, prioritizing meetings and engagements.
- Coordinate scheduling with key stakeholders and executive team members.
- Prepare reports, documents, and briefing materials for meetings.
- Attend executive leadership meetings, prepare agendas, and track action items.
- Draft, proofread, and format correspondence, presentations, and spreadsheets.
- Handle travel arrangements, including flights, accommodations, and itineraries.
- Monitor and manage departmental budget and purchases.
Collaboration & Teamwork
- Provide backup support within the executive assistant team.
- Ensure cross-training for leave coverage.
- Model company culture and values, fostering a collaborative work environment.
Programs & Events
- Organize executive and board events, including offsite meetings and strategy retreats.
- Lead or participate in cross-functional teams and committees.
Requirements:
- Professional, self-motivated, and collaborative with strong interpersonal skills.
- Ability to anticipate needs, exercise discretion, and manage confidential information.
- Strong attention to detail, organizational skills, and ability to multitask.
- Excellent command of English (written and verbal).
- University degree in Business or a related field.
- Minimum 5 years of senior executive assistant experience.
- Proficiency in MS Word, Excel, PowerPoint, and Outlook.
