THE ROLE

STRIVE Recruitment is working with a versatile legal firm who focuses in areas such as business, insurance, and personal litigation. Our client is a Canadian based firm and they are looking for a Corporate Legal Administrative Assistant for their location in Vancouver.

Being a part of the team as the Legal Administrative Assistant, you will be supporting a total of 3 individuals. We are looking for someone who is able to work well by themselves and able to support and help the team when necessary. Responsibilities:

  • Possess a strong understanding of legal documents, filing systems, and clerical administrative procedures.
  • Draft, review, and transcribe various legal documents, including contracts, agreements, and general correspondence.
  • Coordinate and schedule client meetings, ensuring calendars are kept up to date and any changes are communicated promptly.
  • Manage and organize files, including document preparation, updating binders, and ensuring proper filing and storage of physical and electronic records.
  • Maintain an efficient bring-forward system to track important dates, deadlines, and follow-ups.
  • Oversee both open and closed files, ensuring all necessary documentation is properly maintained.
  • Prepare, track, and follow up on monthly and quarterly billing statements, ensuring accurate invoicing.
  • Collaborate with internal teams and clients to gather necessary documentation, ensuring deadlines are met and work is completed accurately.
  • Assist in the preparation of corporate and legal documents such as shareholder agreements, contracts, and other corporate filings.
  • Support in the preparation and filing of regulatory documents and corporate compliance paperwork.
  • Coordinate due diligence for corporate transactions, including document collection and review.
  • Assist with research, administrative tasks, and providing general support to lawyers and other staff as needed.
  • Other duties and responsibilities as assigned.



Qualifications:

  • Graduate of an accredited Legal Administrative Assistant program or equivalent experience.
  • At least 5 years of experience working as a Legal Administrative Assistant, preferably in a corporate or business law setting.
  • Proficient in Microsoft Word, Outlook, and related office software. Experience with Elite 3E or similar legal billing systems is an asset.
  • Exceptional attention to detail, organizational skills, and accuracy in document management.
  • Proven ability to prioritize tasks, multitask effectively, and meet deadlines in a fast-paced environment.
  • Strong written and verbal communication skills, with the ability to communicate clearly and professionally with clients and colleagues.
  • Strong commitment to maintaining confidentiality and handling sensitive client information securely.
  • Knowledge of corporate law procedures, regulatory compliance, and business transactions is a plus.
