THE ROLE

As a Service Department Administrator at a manufacturing plant, you will be responsible for scheduling work orders. This is an excellent permanent opportunity for someone who enjoys coordinating various workers for different tasks. You will work in a team environment during the day shift. This position is located on Stoney Creek Mountain and is for a medium-sized manufacturing plant currently experiencing significant growth and high demand.

RESPONSIBILITIES:

  • Maintain and organize service technician daily timesheets both manual and electronic in preparation for invoicing and payroll. This will include editing, saving and printing PDF documents.
  • Establish work schedules and procedures
  • Enter technician time weekly into the payroll journal and prepare reports for accounting
  • Scan, save and send order acknowledgments and timesheets to customers prior to invoicing
  • Prepare and submit reports
  • Monitor personnel workloads and locations
  • Request purchase orders from customers prior to invoicing when required.
  • Assist with maintaining service equipment data following regular inspections and uploading repair work once it has been completed. 
  • Learn and assist with door and crane deficiency repair quotes
  • Compile worksheets and specifications of orders
  • Create, investigate, track, and complete work orders
  • General clerical work for the department.s
  • Prepare and maintain progress and other reports
  • Special projects when required

REQUIREMENTS:

  • 3 years of office administration
  • Mechanical knowledge
  • Experience as a scheduling coordinator in a manufacturing environment is an asset
  • Excellent MS Office skills
  • Strong communication skills both verbal and written
  • Highly organized
